The Iowa Chapters of ASCLS and CLMA invite you to take part in our ColLABorate Conference

Tuesday and Wednesday, April 11 & 12, 2023 at The Hotel at Kirkwood Center, Cedar Rapids, Iowa.

This year’s two-day program will include speakers covering the latest technical information for medical laboratory professionals as well as addressing challenging administrative issues

facing today’s laboratory managers.

The vendor show will take place on Tuesday, April 11 from 12:00 pm to 2:30 pm.

The deadline for securing booth space is Friday, March 31, 2023

In addition to the vendor show, there are several opportunities to provide sponsorship for the event. Sponsorships are greatly appreciated and are recognized in printed and digital materials and

throughout the event activities. 

Specific information regarding Exhibit space and suggested Sponsorship amounts is included with this prospectus along with the official Application for Exhibit Space and Sponsorship form.

GENERAL INFORMATION - EXHIBITS

Exhibit Space Information

The vendor exhibit will be arranged in an “open table” format.  This allows better visability of participating vendors and facilitates more interaction from the meeting.  The space includes an 6 ft.x 36 in. covered and skirted table and two chairs.  Electricity and wireless internet access are complimentary.

 

Exhibit Space Rental           $700

 

Exhibit space rental includes two conference registrations and two lunches for Tuesday, April 11th. 

Vendors are welcome to attend any of the educational sessions.

 

Sponsorship Information

In addition to exhibitor space, the following sponsorships are also available.  Participating vendors will be included on corresponding session materials throughout the meeting and will be provided an attendee contact list at the conclusion of the event.

 

In addition to the exhibit space rentals, vendors have the opportunity to sponsor meal breaks.  Recognition of sponsorships will be included in event materials.

Exhibit Service Contractor

The Hotel at Kirkwood Center will be handling all exhibit services.  Shipping information is below.  Items will be received by The Hotel Kirkwood Center on or after Thursday, April 6, 2023.  Storage for items arriving prior to three working (3) days of the event and/or not removed following the conclusion of the event may be assessed a storage fee of $3.00 per day per box.

EXHIBITOR RULES AND REGULATIONS

Contract for space: The application for space and the formal notice of assignment constitutes a contract for the right to use the space allotted.  In the event of fire, strikes or other uncontrollable circumstances, this contract will not be binding.

Use of space:  No exhibitor shall assign, sublet, or share the whole or any part of the space allotted without the knowledge and consent of the conference committee.  Aisles must be kept clear.  Exhibitors must comply with all safety, fire and health requirements during set-up, operation and teardown.

Exhibit space:  Each exhibit space will have one 8 ft skirted table,  two chairs and a wastebasket. Electicity and wireless internet is complimentary. 

Assignment of space:  The committee will assign what is considered best space available. All dimensions and locations of the booths on the floor plan are believed to be accurate.  The committee reserves the right to make modifications to the floor plan as deemed appropriate.  Space is assigned on a first-come-first-served basis.  No space is assigned without registration and payment of the exhibit fee.

 

Hours of the exhibit:   Vendor setup will be from 8:00 am to 11:30 am on Tuesday, April 11, 2023.  If needed, the exhibit space can be opened on Monday, April 10 after 5 PM by appointment.  Please contact Teri Reiff or Amanda Vaske for access to the vendor exhibit space on Monday evening.

 

The vendor exhibits will open at 12:00 PM  for conference attendees and continue to 2:30 PM on Tuesday, April 11.

 

Dismantling:  Exhibitor expressly agrees not to teardown the exhibit or do any packing before closing hour of the exhibit on Tuesday, April 11 at 2:30 PM.  Teardown must be complete by 6:00 PM.

Exhibit hall admittance:  Exhibitors must furnish the committee with an advance list of all their representatives.

Liability:  ASCLS-IA and CLMA officers or committee members of the same, will not be responsible for the safety or the property of the exhibitors, their agents or employees, from theft, damage or fire, accident or other cause, but will use reasonable care to protect the exhibitors from such loss.  Exhibitors wishing to insure their goods must do so at their own expense.

Care of building/equipment:  Exhibitors, or their agents, shall not injure or deface the walls or floors of the building or booths.  No signs or other articles shall be posted, nailed or otherwise attached to the floors, walls, furniture or fixtures.

Cancellation and refund policy:  All booth cancellations must be submitted in writing to the committee.  Full refunds will be made for canceled booths on or before March 31, 2023.
